Purpose of Position:
The HR/Immigration Specialist under the direction of the Director, Talent Acquisition, is responsible for providing general support to the Talent Acquisition & HR Department and is responsible for managing the Visa/Immigration process for the network. In collaboration with internal stakeholders, the responsibilities of this role include timely onboarding of new hires, develops, maintains and distributes metrics/reporting, and also is the main point of contact for the immigration process and assists foreign nationals with immigration procedures. Immediately responsible for fielding all employee/manager concerns and is expected to be the initial source of information and to serve as an outward facing part of the Corporate Talent/HR Department.
Qualifications
Functions/Responsibilities:
- Serves as a resource for the administrative efforts within the Corporate Talent Acquisition (TA) team. Assists network Affiliate Operations Specialists (AS) & Affiliate Officers (AO), to ensure accurate and timely processing of process flows.
- Monitors efficient working of U.S. immigration programs and assist to provide appropriate response to all immigration questions and resolve all issues according to required legal requirements.
- Maintains and updates log for all Visa and maintain knowledge on all status and assist to hire and terminate (working in conjunction with the site AO and TA team) all employees and supervises and manages all visa petitions.
- Maintains knowledge on all federal and state employment laws and provide changes to same as per requirements and coordinate with our internal team to maintain all immigration applications and collaborates with our Corporate HR Department and site AO to resolve all immigration issues.
- Educates recruitment team, site AS & potential candidates on immigration process, regulations and timeline.
- Provides an interface for all immigration processes for TA team. Maintains relationships and coordinates with external law firms to design all processes and maintains track of all work visa status and prepares reports for leadership.
- Responsible for handling background investigations on all new hires. Takes responsibility for their completion and follow’s up, when necessary, to ensure investigations are completed as quickly as possible.
- Fields all employee concerns; refers employees to the correct resource or resources, when necessary.
- Runs, maintains and produces vacancy, new hire and other metric reports for the Talent Acquisition Team and Senior Leadership.
- Manages, processes and tracks invoices for the Talent Acquisition team. Ensures invoices are paid on time.
- Assists with the coordination of candidate interviews and site visits. Works closely with recruiters and site colleagues to ensure a positive candidate experience.
- Other duties as assigned.
Qualification Requirements:
- Bachelor’s degree.
- 2 years of experience in Immigration role preferred.
- Proficient use of Microsoft Office Suite (Outlook, Word, PowerPoint, and Excel) required.
- High attention to detail. Ability to maintain high standards despite pressing deadlines.
- Ability to work well under pressure, adapt to unexpected events, prioritize and multi-task in a deadline driven environment.
- Must be able to prioritize a variety of time sensitive tasks. Consistently display the highest degree of integrity, professionalism, diplomacy and discretion.
- Excellent interpersonal and communication skills.
